Party & festival supplies sourcing

Decoration, tableware and seasonal items from the Yiwu cluster — with the seasonal deadline treated as the real specification.

Party and festival goods look like an easy category and behave like a hard
one, because the real specification is not the product — it is the date. A
Halloween range that lands in November is not a late delivery, it is dead
stock. Everything about sourcing this category is organised around that.

How we treat seasonality: the retail date is the first
number we ask for, and the production schedule is built backwards from it.
A factory that cannot hold the date is the wrong factory regardless of the
price.

What we source

The sub-categories and the seasons they serve.

Seasonal decoration

Christmas, Halloween, Easter, Valentine’s and back-to-school ranges.
Design-led, with fast trend cycles and short selling windows.

Party tableware

Paper and plastic plates, cups, napkins, cutlery, table covers.
Printed design is the product, so print quality decides everything.

Banners & backdrops

Bunting, garlands, photo backdrops, wall décor in fabric, paper and
foil. Light to ship, which helps on freight.

Balloons & inflatables

Latex and foil balloons, balloon garland kits, pumps. Material grade
decides how long they hold air — a common customer complaint.

Favours & gifting

Small gift items, favour bags, boxes and tags. Frequently combined
with corporate and promotional orders.

Promotional & branded

Everyday items adapted for corporate gifting, event merchandise and
trade-show giveaways with your logo applied by the factory.

Where it comes from

Yiwu, and why this category sits there.

Yiwu is the reference cluster for small consumer goods and seasonal
decoration. Its advantage is not a single factory — it is density. In a
compact area you find the finished-goods supplier, the printer, the
foil and film supplier, the packaging supplier and the accessory
supplier, which is what makes a short seasonal development window
achievable at all.

The practical consequence for a buyer: development is fast, order
quantities can usually be smaller than in tooling-heavy categories, and
the range of ready designs is enormous. The trade-off is that the same
density makes it easy to buy badly — many suppliers in this cluster are
traders rather than producers, and the price difference between them
reflects that.

What we watch in Yiwu

  • Whether the supplier produces or resells
  • Print registration and colour on multi-colour designs
  • Whether the seasonal date is inside the factory’s real capacity
  • Material grade on balloons and films, where downgrades are invisible
  • Packaging count per carton, because it drives your freight

On cluster claims: we describe the cluster, not the
factories. The invoice and documents you receive come from us, so you have
one accountable counterparty. Where we have visited a supplier or run a
trial order, we record it; where we have not, it says so.

Seasonal reality

Sourcing a category where the date is the product.

What we need from you

  • The retail or in-store date you are working back from
  • The designs or a direction, and whether your branding goes on it
  • Whether the range has to be consistent across several items
  • Your packaging requirement, since gift formats change the lead time

What we build into the plan

  • A schedule counted backwards from your date, not forwards from the order
  • Sampling and print proof before any production is released
  • Inspection before shipment, so a defect is caught inside the window
  • An early warning the moment the date is at risk

Not stated here on purpose: minimum quantities and lead
times. In this category they swing widely between a printed paper item and a
moulded decoration, and any single figure on this page would mislead you.
Send the item and the date, and we will tell you what is actually achievable.
